1. Responsible party

Marketing 2 The Max (M2M) is the responsible party for the personal information collected through this registration site. M2M determines why and how this information is processed for the M2M Invitational and related event administration.

2. Information we collect

The registration form may collect:

  • company name, contact person, email address and mobile number;
  • fourball quantity, package, sponsorship choice, amount and registration status;
  • player names and handicaps;
  • dietary, accessibility or support information that you choose to provide;
  • notes relating to the entry and event arrangements;
  • account and registration identifiers created to administer the entry; and
  • your consent choices, the notice version and the date and time of consent.

Please submit only information that is relevant to the golf day. Do not include unrelated confidential or sensitive information in the notes field.

Information about other players

If you register other players, you confirm that you are authorised to provide their details and that you have made them aware that M2M will use those details for this event.

3. Purpose and legal basis

M2M processes registration information to take steps requested by you and to perform and administer the golf-day entry. This includes validating the entry, creating an account record, arranging teams, event communication, invoicing or payment follow-up, sponsorship administration, catering and accessibility support, security, recordkeeping and responding to enquiries.

Where consent is the appropriate lawful basis, M2M records the consent choices shown on the form. M2M may also process information where necessary to perform the registration arrangement, comply with a legal obligation, or pursue a legitimate interest that does not unjustifiably interfere with your privacy.

Required fields and the two required consent confirmations are necessary to submit an entry. If you do not provide them, M2M cannot process the registration. Player names, handicaps, dietary information, accessibility information, notes and marketing consent are optional unless M2M tells you they are needed for a specific event arrangement.

4. Backend access and sharing

Your registration is stored in a secured backend database. Access is limited to authorised M2M personnel, event administrators and service providers who need the information to carry out the purposes described in this notice. The public website and ordinary registrant accounts do not have direct access to the full registration table.

M2M may use contracted cloud hosting, database, email, spreadsheet, event, catering, billing and technical-support providers. These providers may process information only for the relevant service and must apply appropriate confidentiality and security measures. M2M does not sell registration information.

Some cloud providers may process or back up information outside South Africa. Where this occurs, M2M will use providers and safeguards intended to provide protection consistent with applicable data-protection requirements.

5. Retention and security

M2M keeps personal information only for as long as reasonably required to administer the event, resolve queries, maintain necessary business and financial records, meet legal obligations and establish or defend legal claims. When information is no longer required, it will be securely deleted, destroyed or de-identified, subject to lawful backup and record-retention requirements.

M2M applies reasonable technical and organisational safeguards, including restricted backend permissions, authenticated administrative access, secure transport and service-provider access controls. No online system can be guaranteed to be completely secure, so please contact M2M promptly if you suspect that your information or account credentials have been compromised.

This registration site does not presently use non-essential advertising or analytics cookies. Essential hosting and security technologies may still process limited technical request information needed to deliver and protect the site.

6. Consent and marketing

The form separates registration processing from optional direct marketing. Refusing marketing consent does not prevent you from registering. If you opt in, M2M may send future event and marketing communications using the contact details provided. You may opt out at any time by using an unsubscribe method in a message or contacting M2M.

You may withdraw consent at any time. Withdrawal does not affect processing that was lawful before withdrawal, and M2M may continue processing where another lawful basis applies or records must be retained by law.

M2M does not use the registration information for solely automated decisions that produce legal or similarly significant effects.

7. Your privacy rights

Subject to applicable law, you may ask M2M to:

  • confirm whether it holds personal information about you and provide access to it;
  • correct or update inaccurate or incomplete information;
  • delete or destroy information that M2M is no longer authorised to retain;
  • object to certain processing;
  • withdraw consent; or
  • stop direct marketing communications.

M2M may need to verify your identity before acting on a request. Certain rights may be limited where M2M must keep information for legal, financial, security or dispute-resolution purposes.

The registration form is intended to be completed by adults or authorised representatives. Contact M2M before submitting personal information about a minor.

8. Contact and complaints

For access, correction, deletion, objection, consent withdrawal or other privacy enquiries, contact M2M using the privacy contact channel below. Please include enough information for M2M to identify the relevant registration.

9. Changes to this notice

M2M may update this notice when the registration process, service providers or legal requirements change. The form records the version presented when consent is given. Material changes will be shown by a new version number and update date.
